Direct Hire opening for an Administrative Assistant for Sales & Parts Dept.! Under general supervision this position answers telephone calls, emails and faxes from customers and company sales representatives regarding inquiries, orders, changes, cancellations, delivery dates, application of products, and pricing. Responds to customer inquiries in a calm, professional and courteous manner while acting in the best interests of the company. Proactively and appropriately works with other departments within the organization as needed. Works closely with other Sales personnel, Purchasing, Operations, Shipping, and Finance.  Essential Duties and Responsibilities for the Administrative Assistant for Sales & Parts Dept.
  1. Answer a high volume of emails and/or telephone calls from customers regarding inquiries, orders, changes, cancellations, and delivery dates.
  2. Enters customer purchase orders timely in ERP system.
  3. Runs department weekly and monthly reports and disseminates information timely.
  4. Proactively follows up on purchased and manufactured orders coming and past due, and provides timely updates to sales specialist, customer and outside representatives.
  5. Reviews sales specialist order write up and customer PO prior to order entry.
  6. Reviews product availability during sales order entry to ensure best delivery times are provided to the customer.
  7. Generates and provides sales order acknowledgments to sales specialist and customer.
  8. Monitors external websites for available purchase orders.
  9. Supports and backups other Sales personnel as needed.
  10. Enters sales orders into CRM system.
  11. Works with shipping to ensure emergency orders are shipped timely.
  12. Spends time on the shop floor to assist in expediting orders as needed.
Administrative Assistant for Sales & Parts Dept. Education and Experience
  1. High School Diploma or equivalent required.
  2. Minimum 1 year experience working in a fast paced administrative, professional office capacity
  3. Prior experience working with parts sales is preferred.
Administrative Assistant for Sales & Parts Dept. will work Full Time Monday-Friday 7 or 8am startWage depends on experience-$18-20 per hour to start
